Introduction

Robby ("we," "our," or "us") is committed to protecting the privacy of our users. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use our services, including the Robby web application, technician notification services, and the Robby Pitch Pro iPad app for HVAC contractors (collectively, the "Services").

Robby's Services are designed for use by authorized HVAC contractors and their employees. Most information processed through Robby is handled on behalf of a contractor that has engaged Robby to support its business operations.

Information We Collect

We collect the following categories of information:

  • Account and business contact information: name, email address, phone number, company, role, and user ID for authorized users of the Services.
  • Job and customer information: job details, customer names, addresses, contact details, equipment information, appointment details, notes, pricing, estimates, and proposal content created or used in the Services.
  • Photos and media: photos or videos of homes, equipment, installations, or job conditions that are uploaded or attached in the app by technicians or contractors.
  • Communications: operational messages between technicians, customers, employers, and Robby-supported systems, including SMS, voice, and in-app communications.
  • Usage, analytics, and diagnostics: information about how the Services are accessed and used, including app interactions, device and browser information, app version, crash reports, logs, and performance data.

How We Use Information

We use the information we collect to:

  • Provide and operate the Robby Services, including Robby Pitch Pro.
  • Authenticate authorized users and manage access to contractor accounts.
  • Help technicians and contractors create, customize, present, share, and follow up on HVAC proposals.
  • Sync job, customer, equipment, estimate, and proposal data with the contractor's business systems.
  • Send operational notifications and customer or technician communications, including SMS and voice messages.
  • Provide support, troubleshoot issues, improve reliability, and analyze product usage.
  • Maintain the security of the Services, prevent abuse, and comply with legal obligations.

Public Proposal Links

Robby Pitch Pro may generate proposal links that technicians or contractors can share with customers so the customer can view a proposal outside the app.

Anyone with a valid proposal link may be able to view the proposal content associated with that link. Contractors and technicians are responsible for sharing proposal links only with the intended recipients and for handling proposal content in accordance with their own privacy obligations to their customers.

SMS/Text Messaging

Our SMS notification service is used exclusively for internal business communications with employees of our client companies. By having your phone number enrolled in our system:

  • You will receive job-related notifications via SMS
  • Message frequency varies based on job assignments
  • Message and data rates may apply
  • You can opt out at any time by replying STOP to any message
  • For help, reply HELP to any message or contact your employer

We do not use phone numbers for marketing purposes. All messages are strictly operational and job-related.

Information Sharing and Disclosure

Robby does not sell personal information. We share information only in the following circumstances:

  • With the contractor or employer using Robby: account, job, customer, proposal, and communications information is shared with the contracting company that has engaged Robby and that employs or authorizes the user.
  • With service providers: we use third-party service providers that help us with hosting, authentication, analytics, communications (such as SMS and voice delivery), storage, customer support, and system integrations. These providers are contractually required to protect information and use it only to provide services to Robby.
  • With field service, CRM, or business systems selected by the contractor: where a contractor enables an integration, Robby may exchange job, customer, equipment, estimate, and proposal data with that system on the contractor's behalf.
  • With customers or other recipients: when a contractor or technician shares proposal content or sends operational communications, the recipients of that content or communication will receive the information that the contractor or technician chose to share.
  • Legal and compliance disclosures: we may disclose information if required by law, in response to valid legal requests, or to protect the rights, safety, and property of Robby, our users, or others.

All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Data Security

We implement appropriate technical, administrative, and organizational safeguards to protect information against unauthorized access, alteration, disclosure, or destruction. These measures include access controls, encryption where appropriate, monitoring, and administrative safeguards applied across our Services.

Data Retention

Robby retains information for as long as needed to provide the Services, support our customers, comply with legal obligations, resolve disputes, and enforce our agreements. Phone numbers and employee data are removed from our system promptly upon termination of employment or at the request of the employer.

Contractors may request deletion or correction of data they control, subject to legal and operational requirements and to the terms of their agreement with Robby.

Your Rights and Choices

You have the following choices:

  • Contact Robby or your employer or contractor to request access to, correction of, or deletion of personal information.
  • Opt out of SMS notifications by replying STOP to any message.
  • Contact privacy@tryrobby.com for privacy requests, including questions about access, correction, or deletion.

Because much of the information in Robby is processed on behalf of a contractor, some requests may need to be directed to or coordinated with that contractor.

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify affected parties of any material changes by posting the new Privacy Policy on this page and updating the "Last updated" date.
